HOPSA USA-Canada Alumnae ("HOPSA USA-Canada," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you use https://www.hopsausa-canada.com and our member portal, how we use that information, and the choices you have.

1. Information we collect

We collect information you provide directly when you register as a member, sign up for an event, make a donation, purchase merchandise, apply to volunteer, or contact us. This may include:

  • Identity & contact data — full name, preferred name, email, phone, mailing address.
  • Alumna verification data — graduation year, alumnae class, school location, supporting documents.
  • Professional data — title, employer, industry, bio, business spotlight submissions.
  • Payment data — collected and processed by Stripe; we do not store full card numbers.
  • Communications preferences — email subscriptions, SMS opt-in records, message content.
  • Volunteer & event data — hours logged, role history, registrations, attendance.

We also collect limited technical data automatically (IP address, browser type, pages visited) for security, fraud prevention, and analytics.

2. How we use your information

  • Verify alumna status and operate your membership.
  • Process payments, donations, and orders.
  • Send membership confirmations, receipts, event invitations, and program updates.
  • Connect you with year groups, regional communities, and the directory (if you opt in).
  • Coordinate volunteer placements and acknowledge service hours.
  • Comply with legal obligations and protect HOPSA USA-Canada, our members, and the public.

3. SMS messaging (TCPA compliance)

By providing your mobile number and opting in to SMS, you consent to receive transactional and program-related text messages from HOPSA USA-Canada, including membership renewal reminders, event reminders, and time-sensitive announcements.

  • Frequency: Message frequency varies. You may receive up to ~4 messages per month.
  • Cost: Message and data rates may apply, depending on your wireless carrier plan.
  • Opt out: Reply STOP to any HOPSA USA-Canada SMS to unsubscribe. You will receive a final confirmation. To re-enroll, reply START or update preferences in your portal.
  • Help: Reply HELP for instructions, or email us at the address at the foot of this page.
  • Carrier disclaimer: Carriers are not liable for delayed or undelivered messages.
  • We do not sell or rent your phone number to third parties for marketing.

4. Payment data

Payments are processed by Stripe, Inc. HOPSA USA-Canada never stores your full credit or debit card number. Stripe handles all card data in accordance with PCI-DSS. We retain the last four digits and card brand only for receipt and refund purposes. Review Stripe's privacy policy at stripe.com/privacy .

5. Email

We send email via Resend, Inc. Transactional emails (receipts, account, security) are sent regardless of subscription status. Members receive the newsletter and program updates as part of membership and can turn them off at any time from their portal notification settings or with the unsubscribe link in any email.

6. Cookies & analytics

We use essential cookies to keep you signed in. We may use limited analytics cookies to understand how the site is used; these never include payment data or document uploads. You can clear or block cookies in your browser settings, but signed-in features will not work without essential cookies.

7. Data sharing

We share information only when necessary:

  • Service providers — Stripe (payments), Resend (email), Twilio (SMS), Supabase (hosting & database). They process data on our behalf under written agreements.
  • Other members — only fields you choose to make directory-visible.
  • Legal compliance — when required by law, court order, or to protect rights and safety.
  • We do not sell, trade, or rent your personal data.

8. Data retention

We retain membership and transaction records for as long as you are a member and for a reasonable period afterwards to fulfill legal, accounting, and audit obligations (typically 7 years for financial records). Verification documents are deleted within 90 days of approval or rejection.

9. Your rights

You have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Correct — update inaccurate or incomplete information (most fields are editable from your portal profile).
  • Delete — request deletion of your account and associated data, subject to legal retention requirements.
  • Port — request your data in a portable, machine-readable format.
  • Opt out — withdraw email, SMS, or directory consent at any time.

10. Children

HOPSA USA-Canada membership is limited to alumnae aged 18 and older. We do not knowingly collect data from anyone under 13. If we learn we have, we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy. Material changes will be communicated by email and posted here with a new "Last updated" date.
